Harvest – less time tracking and more time doing

The Harvest team have taken the pain out of tracking time so you can concentrate on the important things. With Harvest, you can track your time from the web, from your smartphone or even from another app. Time tracking is just the tip of the Harvest iceberg though. How Harvest works with Xero
Once connected, Harvest creates an invoice in Xero when an invoice is marked as sent in Harvest. You can also manually export an invoice to Xero. Harvest and Xero have slightly different tax rate setups, so make sure the correct tax rate is applied when you view the invoice in Xero.

Tried Harvest but disappointed with the integration overall.

Can’t customise the linked accounts per invoice, which is annoying. I also couldn’t figure out how to edit the invoices in Xero after sending then through.

I think I’ll stick with MinuteDock, which has a much better integration with Xero and also better overall time tracking as far as I’m concerned.

I sat in on a webinar this morning with Harvest – well presented covering not only time billing, tasks and projects but also retainers, reimbursements. Recommend anyone looking at Harvest jump in and attend webinar.

@Jason useful feedback on being able to set the accounts on a per invoice basis, will pass it on, thanks. It is the first iteration of the integration so always good to hear from users on ways to improve.

Every add-on is different so it is good there is one that meets your needs, even if it isn’t Harvest – all about the right tool for the right job!

@Jason you can edit your draft invoice before sending to Xero or after the fact once pushed from Harvest. The draft invoice in Harvest defaults to “service type” this can be edited or a new service type can be created and linked to any number of income accounts in your COA.

Thank you so much for this really helpful blog. It is very timely for me as just yesterday I took on a new Xero client who is a Virtual Assistant and needs to invoice time accurately, and so I was looking into add-on options, and this blog and the comments have been really helpful in that decision making process.

Good to have this, I’ve been waiting for it for a long time, so very happy now. However it can improve. At the moment it’s really a quick way to cut and paste invoices from Harvest to Xero. I’d like to have it appear in Xero as a draft that has to be ‘approved’ (and amended if necessary) rather than automatically being posted.
But progress is good!

@Darryl – great idea, having an option within the Xero settings so a user can decide if invoices should be created as drafts or approved invoices is something I will suggest to the Harvest team.

I’m looking for a way to push the data from Harvest (or similar) into employee timesheets, rather than invoicing a customer. Anyone know if this is possible?

@Tony This is not possible at the moment I am afraid. The API and Payroll teams are currently working on an API to allow other applications feed in hours to timesheets for those using payroll in Xero in Australia. Once this is in place we will be encouraging developers to make use of it – your is a great example of how it could be used.

I’m currently using Yast to manage time, along with Xero for the invoicing but it looks like Harvest integration will make things even smoother.

It would be great if Xero could read when an invoice is paid, so it doesn’t need to be recorded once in Harvest and again in Xero. Thanks!

I looked at Harvest, we use Replicon for time reporting which is fabulous, and cheaper than Harvest so I won’t be changing at this stage.

Is there any way to synchronise the invoice numbers set in harvest to Xero, or vice versa? My problem is that when importing a Harvest invoice, it’s not consistent with Xero’s invoice numbering. Otherwise, fantastic to see Xero / Harvest talking!

Is my understanding correct that whilst you do timesheet tracking, you are unable to push through the timesheets Xero?

@Eliana – applying payments to invoices is definitely on the list of improvements the Harvest team are looking at

@Val would changing the invoice numbering in Xero to align with Harvest help? https://help.xero.com/#Settings_InvoiceNumber

@Mandy – the timesheets in Harvest become invoices (billings) in Xero. They do not also export as timesheets for Australian payroll
